# Instagram 101: direct messages for businesses people discover by sight

Instagram is Meta's photo and video app. Its direct messages, often called DMs, are where interest in a post, a story or an ad turns into a question: "Is this available in my size?", "Do you have a table on Friday?". For a business, Instagram messaging is a channel the customer opens and the business answers. This primer explains how it works as of October 2026.

## At a glance

```diagram:compare
| Instagram direct messages | Messenger, for comparison
What it is | Conversations with a business's professional Instagram account | Conversations with a business's Facebook Page
Reach | More than 3 billion monthly users (October 2025) | Not reported separately by Meta
Who may start | The person, usually after a post, a story or an ad | The person, from a Page, a post or an ad
After 24 hours | A person may reply for seven days with the human agent tag | The same, plus utility templates and opted-in marketing messages
How it is priced | No per-message rate card; ads, tools and staff cost money | No per-message rate card; ads, tools and paid features cost money
Best for | Visual products, services and bookings | Questions that start on Facebook
```

- **Who runs it:** Meta, through the Instagram Platform's messaging API.[^2][^3]
- **Reach:** Instagram passed 3 billion monthly users, Meta said in October 2025,[^7] and 2 billion daily users, it said in July 2026.[^8]
- **The defining rule:** a 24-hour window after the person's last message, shared with Messenger under one Meta policy.[^1] After it, only a person may reply, within seven days.[^2][^5]
- **Account type:** the business needs a professional Instagram account to use the API.[^2]

## How it works

A business can answer DMs in the Instagram app itself. That works for one person. Once a team, a bot or a customer system is involved, the business connects its account to Meta's API, usually through a provider's inbox.

There are two ways to connect, and Meta documents both:[^2]

- **Instagram API with Instagram Login.** The business signs in with its Instagram professional account. No Facebook Page is needed.
- **Instagram API with Facebook Login for Business.** The Instagram account is linked to a Facebook Page, and access goes through the Page. This suits businesses that already manage Messenger and ads from the same place.

Either way, messages reach your system and your replies go out like this:

```diagram:path
# How a direct message reaches your team
The person | Writes a DM, often after seeing a post, a story or an ad | The message to Instagram
Instagram | Delivers it to your professional account and opens the 24-hour window | A webhook to your inbox or system
Your inbox or system | A bot answers common questions; a person takes the rest | A reply through the messaging API
The person | Reads the reply in the same thread | Their next message restarts the window
> After 24 hours without a message from the person, only a human agent reply within seven days is allowed.
```

The terms in that path:

- A **[webhook](/en/learn/glossary#webhook)** is a call Meta makes to your system when a message arrives.
- The **messaging API** is what your system calls to send a reply.[^3]
- The **24-hour window** opens when the person writes and restarts with each new message. Inside it the business may reply freely, including with promotional content.[^1]
- The **human agent tag** lets a person, not a bot, reply up to seven days after the customer's last message, for questions that could not be settled in time. An app must pass Meta's review to use it.[^5] On Instagram it is the only way to send after the window closes.[^3]

There is no Instagram equivalent of WhatsApp's templates or Messenger's marketing messages: a business cannot write first, and cannot send promotions after the window.

### What a shared inbox adds

Answering in the Instagram app ties every conversation to whoever holds the phone. A shared inbox, built by a provider or by the business itself on the API, adds what a team needs: conversations assigned to a named person, internal notes the customer does not see, the full history when someone else picks up, opening hours and an automatic reply outside them, and a clock showing how much of the 24-hour window is left. It is also where a bot hands over to a person, and where an Instagram conversation can be joined to the same customer's emails and WhatsApp messages.

## A short history

Instagram began as a photo-sharing app and has long been part of Meta. Its business messaging grew from the Messenger Platform: the two share one policy,[^1] and one of the two ways to connect still runs through a Facebook Page.[^2]

```diagram:timeline
# Instagram messaging for business
June 2021 | Human agent tag for all developers | On the Messenger Platform, whose rules Instagram messaging shares
September 2023 | EU names Meta a gatekeeper | Instagram is designated as a social network, not a messaging service
October 2025 | 3 billion monthly users | Announced with Meta's third-quarter results
April 2026 | Messenger retires three message tags | The human agent tag remains
May 2026 | Digital Markets Act review | Interoperability not extended to social networks for now
July 2026 | 2 billion daily users | Announced with Meta's second-quarter results
> Sources: Meta for Developers, Meta investor materials and the European Commission.
```

The milestones that matter to a business are about rules and reach. In June 2021 the human agent tag, which gives a person seven days to reply, became available to all developers on the Messenger Platform.[^6] In September 2023 the European Commission designated Meta a gatekeeper under the Digital Markets Act, with WhatsApp and Messenger named as messaging services; Instagram falls under the Act as a social network, not as a messaging service.[^12] Meta reported 3 billion monthly users for Instagram in October 2025[^7] and 2 billion daily users in July 2026.[^8] In April 2026 Messenger retired three of its message tags; the human agent tag stayed.[^6]

## Where it is used

Instagram is one of the largest apps in the world: more than 3 billion people a month (October 2025)[^7] and 2 billion a day (July 2026).[^8] Meta's family of apps together reached 3.60 billion people a day on average in June 2026.[^9]

Meta does not publish Instagram user numbers by country or region in its results. What can be said, region by region:

- **The Americas:** in the second quarter of 2025, revenue from Meta's click-to-message ads, which open a conversation in Instagram, Messenger or WhatsApp, grew more than 40% year on year in the United States.[^10]
- **Europe:** Instagram is covered by the Digital Markets Act as a social network.[^12] Its direct messages are not subject to the Act's messaging interoperability rules, and the Commission's 2026 review judged it premature to extend them to social networks.[^13][^14]
- **Middle East and Africa, and Asia-Pacific:** Meta publishes no Instagram-specific figures for these regions.

How many of your own customers use Instagram, and how old they are, varies by market and by sector. Check your own data or a named survey for your country before you staff an Instagram inbox.

## What businesses use it for

Instagram messaging suits businesses whose products are seen before they are bought:

- **[Sales](/en/ecosystem/use-cases/sales)**: questions prompted by a post, a story or a click-to-message ad. Meta's ad tools count the conversations an ad starts as "new messaging connections".[^11]
- **[Commerce](/en/ecosystem/use-cases/commerce)**: sizes, colours, stock and delivery, with a link to buy.
- **[Booking](/en/ecosystem/use-cases/booking)**: salons, clinics, restaurants and studios taking appointments by DM, ideally with a link to a booking page rather than a long exchange.
- **[Support](/en/ecosystem/use-cases/support)**: after-sales questions from customers who found the brand on Instagram.
- **[One inbox](/en/ecosystem/use-cases/unify)**: Instagram, Messenger, WhatsApp and web chat in one [unified inbox](/en/learn/glossary#unified-inbox), so a customer who moves between them is one record.

### A worked example

A hair salon posts a short video of a new colour treatment. Several people reply to the story to ask the price. The salon's inbox shows the DMs to whoever is on the front desk; a simple automated reply shares the price list and a booking link straight away, and says a stylist will follow up on anything else.

One client asks whether the treatment suits fine hair. The stylist is busy, and replies the next afternoon, outside the 24-hour window, using the human agent tag, which allows a person to reply within seven days.[^5] The automated reply does not follow up after the window, because a bot may not use that tag. Nobody receives a promotion they did not ask for.

### Writing for DMs

Instagram conversations are short and informal, and people read them on a phone between other things. A few habits help:

- **Answer the question first**, then add detail. One message with the price and a link beats three messages of greeting.
- **Use links for anything with steps**: booking, sizing guides, payment. A long exchange inside the window is easy to lose when it closes.
- **Write in the customer's language.** If customers write in Arabic, answer in Arabic written for the purpose, not translated; see [Arabic first is not translation](/en/learn/arabic-first-is-not-translation).
- **Keep the brand's voice in automated replies**, and make the way to a person obvious.

For how conversation and marketing fit together, see [conversational marketing defined](/en/learn/conversational-marketing-defined).

## What it costs

Meta publishes no per-message price for Instagram direct messages. The costs are elsewhere:

```diagram:compare
| What you pay for | How it is charged
Starting conversations | Click-to-message ads that open an Instagram chat | As ads, through Meta's ad auction
Answering | The people who reply | Staff time, which outside-window rules make urgent
Tools | Inbox, automation and bot software | Provider fees per seat, contact or month
Replies in the window | Messages to and from the customer | No published Meta charge
> As of October 2026. Meta publishes no Instagram per-message rate card.
```

- **Ads.** Click-to-message ads are bought as advertising, and Meta's ad tools report the cost of each new conversation, the "cost per new messaging connection".[^11]
- **People.** Because only a person may reply after the window, and only for seven days,[^5] Instagram rewards a team that answers quickly. Slow replies cost sales, not fees.
- **Tools.** Providers usually charge per seat, per contact or per month. Ask them to show Meta's ad costs separately from their own fees.

## Rules and regulation

This section describes rules; it is not legal advice.

**Platform policy.** One Meta policy covers the Messenger Platform and the Instagram messaging API. It sets the 24-hour window and allows promotional content inside it.[^1] Message tags may not carry promotional content, and misuse can restrict an Instagram account's ability to send messages.[^4] The human agent tag is for a person's reply only and requires app review.[^5]

**Consent.** A customer who asks a question has not agreed to marketing. Keep [opt-in](/en/learn/glossary#opt-in) and [opt-out](/en/learn/glossary#opt-out) as data, per purpose and channel; see [consent is a data model](/en/learn/consent-is-a-data-model).

**Data protection.** DMs often carry names, photos and sometimes health or payment details. Laws such as the [GDPR](/en/learn/glossary#gdpr) govern what you keep and which providers see it. Ask where your provider stores conversations ([data residency](/en/learn/glossary#data-residency)) and for how long.

**The EU Digital Markets Act.** The Act's interoperability duty applies to messaging services such as WhatsApp and Messenger.[^14][^12] Instagram is designated as a social network, and the Commission's 2026 review judged it premature to extend that duty to social networks.[^13]

**AI.** If a bot or an AI agent answers DMs, say so; see [disclosing AI in a conversation](/en/learn/disclosing-ai-in-a-conversation) and [Article 50 of the EU AI Act](/en/learn/ai-act-article-50-for-messaging).

## Limits and pitfalls

- **No first message.** A business cannot open a conversation by DM. Instagram is for answering, not for outreach.
- **A short window, then people only.** After 24 hours, a person has seven days to reply, and bots must stop.[^5] A team that answers once a week loses most conversations.
- **Promotions after the window.** Not allowed. Misusing tags can restrict the account's ability to send.[^4]
- **Answering from personal phones.** When staff leave, so do conversations and customer details. Connect the account to a shared inbox.
- **Automation that blocks people.** Keyword replies help; a bot that never hands over to a person costs sales. See [AI agents and the containment trap](/en/learn/ai-agents-and-the-containment-trap).
- **The wrong account or connection.** Without a professional account the API is not available.[^2] Choose the Instagram Login or Facebook Login route deliberately, because it decides who in your company controls access.
- **One customer, two inboxes.** People who DM on Instagram and write on WhatsApp are the same customer; see [omnichannel is an identity problem](/en/learn/omnichannel-is-an-identity-problem).

Questions to settle before launch:

1. Who answers DMs, at what hours, and how quickly?
2. Which questions can an automated reply handle, and when does it hand over to a person?
3. How do booking and payment links work from a DM, and are they tracked?
4. Where are consent and the conversation record kept once a DM becomes an order?

## Strengths and weaknesses

```diagram:compare
| Strengths | Weaknesses
Reach | More than 3 billion monthly users | No country figures from Meta to plan with
Intent | People write because they saw something they want | Only people who write first can be reached
Format | Photos, videos and links in the same thread | No templates or opted-in marketing after the window
Cost | No published per-message fee | Ads to start conversations; staff to answer in time
Rules | One policy shared with Messenger | Seven days for a person, then the conversation is closed to the business
> Summarised from this article, as of October 2026.
```

## What comes next

Announced and scheduled items only:

- **Regulation.** The Commission's 2026 review of the Digital Markets Act left messaging interoperability limited to messaging services for now.[^13]
- **AI.** Meta's July 2026 announcement of its Business Agent covered WhatsApp and Messenger;[^8] check Meta's documentation before assuming the same for Instagram.
- **Rules that move.** The April 2026 tag change on Messenger shows how the shared platform evolves.[^6] Re-read the policy at least once a year.

## When to choose it

```diagram:decision
# Is Instagram right for this conversation?
Do your customers discover you on Instagram? | | Use the channels where they do find you
Will the customer write first, from a post, a story or an ad? | Use Instagram DMs, and answer inside 24 hours | Instagram cannot start it; use a channel you hold consent for
Will you need to write again after seven days? | Move the conversation to a channel with templates or opted-in messages | Instagram is enough
> After 24 hours, only a person may reply, and only within seven days.
```

Instagram fits businesses whose products sell on sight: fashion, beauty, food, travel, interiors and local services. It works when a team answers quickly and when the conversation can end in a booking, a link or a purchase. For updates and reminders later on, pair it with a channel that allows business-initiated messages.

Compare it with [Messenger 101](/en/learn/messenger-101) and [WhatsApp 101](/en/learn/whatsapp-101), see the [Instagram channel page](/en/ecosystem/channels/instagram), read [choosing a channel per message](/en/learn/choosing-a-channel-per-message), and weigh every channel side by side in [which channel for which need](/en/learn/which-channel-for-what).
